You understand that by registering to be a part of the Chesterfield Business Expo you consent to the use of your data as disclosed when registering, to be approached by email or by telephone by Chesterfield Business Expo, our sponsors or exhibitors.
You understand and consent to the event organisers using your data in order to stage the event with the view to improve the event experience for participants.
Use of images
We reserve the right use any images or video taken at the event. By attending the event you agree to give permission for your image to be used for marketing and promotional purposes.
Exhibitors
Payment
Your exhibition space is only booked once full payment is received. Payment in full must be made at the time of booking.
Cancellation policy and refunds
Exhibitors are required to accept our Terms & Conditions (including our cancellation policy) at the time of booking your stand space. You can subsequently cancel your exhibition space at any time by notifying us in writing. However, under the Terms & Conditions, refunds will be made on the following basis:

Please note: no refunds are given to any exhibitor or sponsor if they are unhappy with the event itself, we offer no guarantees on the number of attendees, the number of sales and/or leads achieved.
Timings
All Exhibitors should attend their stands: 9:30am – 3:30pm
Set up time: 8am – 9.30am (your stand must be completely setup before doors open to attendees at 9.30am)
Event opening times 9:30am – 3:30pm
Set down: Exhibitors may not pack away until the exhibition closes at 3:30pm. All exhibitors will need to pack down immediately after the end of the expo and clear the room by 5.00pm.
Wifi
Free Wifi is normally available at the venue but no guarantee is made for the availability, speed and quality on the day of the expo
Power
Power will be provided if you have purchased this option at the time of booking your stand. If you do not select the power option, we will not be able to provide access to any power.
Food and drink
- All exhibitors will be provided with 2 lunches within the cost of the exhibition stand
- Additional food and drink will be available for purchase from the venue.
- No food or drink purchased outside the venue will be permitted for personal consumption.
- Exhibitors wishing to provide food and drink samples on their stand to people attending the event is allowed but exhibitor takes responsibility for quality and safety of any food and drink provided.
Stand sharing
The stand must only be used by the specific company/organisation who booked it. Stand sharing is strictly prohibited. If found to be in breach, the brand who has not booked a space will be asked to leave.
GDPR
The Chesterfield Business Expo is a community business event which centres itself around connecting businesses and others, therefore if you book a stand you are agreeing to other exhibitors, sponsors, and attendees contacting you in order to build on their connections and your own. This is a legitimate interest not only for us but for you too.

Liability
Your responsibilities:
- The exhibitor is responsible for setting up, maintaining, and removing their stand/display/any equipment on the day of the event as per the timings detailed in the Terms & Conditions.
- The exhibitor is responsible for complying with all Health & Safety legislation and regulations including fire and electrical safety, and will abide by any reasonable requests relating to Health & Safety made by either the event organiser or the venue.
- The event organiser is not responsible for any loss, damage or theft of equipment or materials, all property of the exhibitor or any other third party at the event is held there at the exhibitor’s risk.
Liability / Insurance:
- The exhibitor agrees to indemnify and hold harmless [Simon Coy Ltd/The Event Organiser] from all or any losses, costs, claims, damages, or liabilities arising out of their participation in the event.
- The exhibitor is responsible for obtaining adequate insurance to cover any claims that might arise for any losses, costs, claims, damages, or liabilities arising out of their participation in the event.
Display stand restrictions
Your exhibition display banners and materials cannot exceed the dimensions of your chosen stand.
Barcelona suite – no more than 2m wide x 1.5m deep
Valencia suite – no more than 1.5m wide x 1.5m deep
We reserve the right to remove any banners and display materials exceeding the size of your chosen stand.
Memberships
These Terms and Conditions govern your membership with Derbyshire Business Events (“the Group”). By becoming a member, you agree to the following terms:
1. Membership Agreement
1.1 Membership Term: The membership term is for a minimum of twelve (12) months (“Initial Term”), commencing from the date of your first payment. The membership requires renewal at the end of the initial twelve (12) months, if your renewal isn’t processed access to your membership will cease.
1.2 Non-Refundable Fees: All membership fees are non-refundable. Once paid, the fees cannot be refunded, regardless of whether you choose to participate in the Group’s activities or events during the membership term.
1.3 Monthly Payments: Membership fees are payable monthly via direct debit. By signing up for membership and completing the online direct debit mandate, you authorise the Group to deduct the monthly membership fees from your nominated bank account on the agreed-upon date each month.
2. Payment Terms
2.1 Direct Debit Payments: Membership fees are payable in twelve (12) equal monthly instalments of £20.00 + VAT, starting immediately after your membership approval.
2.2 Failed Payments: In the event that a direct debit payment is not successful, the Group reserves the right to suspend your membership until payment is made. The Group may also charge a reasonable fee to cover administrative costs associated with failed payments.
2.3 Late Payments: If a monthly payment is delayed by more than seven (7) days, the Group reserves the right to terminate the membership and pursue the full outstanding balance of the remaining term.
3. Membership Benefits
3.1 As a member, you are entitled to attend all scheduled events, receive resources, and access the services provided by the Group as part of the membership package.
3.2 The Group reserves the right to modify the scope of the services, events, and benefits offered to members without prior notice, provided that such changes do not materially reduce the core benefits of membership.
4. Non-Transferability
4.1 Membership is personal to the individual or organisation named in the application and cannot be transferred, sold, or assigned to any other person or entity without the Group’s prior written consent.
5. Cancellation and Termination
5.1 Cancellation at End of Initial Term: You may cancel your membership at the end of the Initial Term by advising us in writing via email before the annual renewal date or by not approving reminders for the renewal term.
5.2 Renewal: If you renew your membership in accordance with Clause 1.1, it will renew for a further twelve (12) months under the same terms and conditions. The renewed term will also be subject to non-refundable monthly payments via direct debit.
5.3 Early Termination: Membership cannot be cancelled or terminated prior to the end of the Initial Term or any subsequent renewal term, except in cases where the Group agrees in writing to such early termination. In such cases, the Group reserves the right to charge a cancellation fee equal to the outstanding balance of the remaining term and to recover any monetary benefits such as event or expo discounts already provided.
5.4 Termination by the Group: The Group may terminate your membership without notice if:
- You fail to make timely payments as required.
- You breach any of these Terms and Conditions.
- You engage in conduct that the Group deems detrimental to its reputation or the interests of its members.
6. Changes to Terms
6.1 The Group reserves the right to update or amend these Terms and Conditions from time to time. Any changes will be communicated to members in writing at least thirty (30) days before they take effect. Continued membership after the changes take effect constitutes your acceptance of the revised terms.
7. Liability
7.1 The Group is not liable for any indirect, incidental, or consequential damages arising out of your membership. The Group’s liability for direct damages will be limited to the total fees paid by you during the twelve (12) months immediately preceding the event giving rise to the claim.
7.2 The Group is not responsible for any personal injury, loss, or damage to property incurred during Group events or activities unless caused by the Group’s negligence.
8. Governing Law
8.1 These Terms and Conditions will be governed by and construed in accordance with the laws of the United Kingdom, and you agree to submit to the exclusive jurisdiction of the courts of the United Kingdom in respect of any disputes.
By submitting your application for membership of Derbyshire Business Events and paying the first monthly fee by direct debit, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions.
